When Should You Book Your Iowa Wedding Vendors? A Real Planning Timeline

One of the most common questions I get from newly engaged couples is some version of: ‘Are we behind?’ Usually followed by: ‘We just got engaged two weeks ago and I’ve already seen things about booking vendors 18 months out and I’m panicking.’

Let me give you the honest, Iowa-specific answer to when things actually need to be booked — without the anxiety-inducing urgency of content that applies to New York City or Los Angeles markets.

12–18 months out: the things you actually need to move on quickly

Your venue. In central Iowa, the most sought-after venues for peak season (May through October) — especially September and October — can book 12 to 18 months in advance. If you have a specific venue in mind for a specific date, this is where urgency is real. Get this locked first.

Your photographer. The best photographers in the Iowa market book up significantly for peak season. If you have specific photographers whose work you love, reaching out early is genuinely worth it.

Your wedding planner, if you’re hiring one. Planning capacity is finite, and if you want a full-service planner who can be alongside you for the full 12-month process, earlier is better.

9–12 months out: build the vendor team

Catering. Whether through your venue or an outside caterer, get this locked once your venue is confirmed.

DJ or band. Good Iowa DJs who are experienced in weddings book up for peak weekends, especially in fall. This category surprises couples — don’t leave it.

Florist. Florists who align with your vision and budget benefit from a longer planning horizon — especially if you want to do the floral reuse strategy, which requires planning from the first meeting.

Hair and makeup. For a full bridal party, popular stylists book well in advance. Start this search early.

6–9 months out: the detail layer

Invitations and stationery. You need save-the-dates around 6 months out (earlier for destination or out-of-town heavy guest lists). Give your stationer enough lead time.

Wedding cake. Get this booked and tastings scheduled during this window.

Transportation and rental items. Specific rental pieces — vintage cars, specialty linens, specialty furniture — have limited inventory. Book sooner rather than later.

2–4 months out: the final layer

Hair and makeup trial. Schedule this at least 6 to 8 weeks before the wedding so there’s time for adjustments.

Dress fittings. Alterations typically require 2 to 3 fittings and should be completed at least 2 weeks before the wedding.

Seating chart and final counts. Your venue and caterer will need these 1 to 2 weeks out. Build your timeline backward from their deadlines.

2 weeks out: the confirmation round

Reach out to every single vendor with a confirmation message. Not ‘are we still on?’ — a full confirmation with the venue address (including load-in entrance), their specific arrival time, who to contact on arrival, and any final details specific to their role.

This one step, done two weeks out rather than the day before, gives you time to address any problem before it becomes a crisis.
